Which AI tools am I allowed to use?
Only tools formally reviewed and approved by Technology and Legal. Today that's Microsoft Copilot (Enterprise) and Microsoft 365 and Edge browser AI features, both available since June 2024 — see Tools for what you can access. Anything else needs approval first, including AI features built into websites and apps you already use.
Can I use my personal ChatGPT account for work?
No. Using a personal account with any AI tool for Club business is prohibited — including on a work phone. The reverse is also prohibited: don't use your Club email address to sign up for AI tools for personal use. Work use means a Club-provided email address and login, on an approved tool.
What must I never put into an AI tool?
Trade secrets, Club intellectual property (logos, brands, video and photo content, imagery, statistical data), confidential information about the Club or third parties, patentable research, sensitive market information, source code, legally privileged material, other people's personal data, financial data, API keys and login credentials. A useful test: would you be comfortable with this information being leaked publicly? If not, don't paste it. Full list in the policy.
I want to use a new AI tool — what's the process?
Two steps, both required. Log a request with the Technology Service Desk at techsupport@chelseafc.com so Technology can review the tool's security, terms, privacy policy and developer reputation. Then submit the contractual request through the Contract request portal on the Intranet homepage, answering the AI-specific questions, so Legal can review it. A tool is only usable once both have approved it. For a paid licence on an already approved tool, use Requests.
Does using personal data in an AI tool need approval?
Yes — talk to Legal before you start, not after. Processing personal data with an AI tool is likely to trigger the need for a Data Protection Impact Assessment, and Legal has to confirm the processing complies with GDPR. Special categories of personal data need more care again.
Can AI make or support a decision about a person?
AI must not replace judgement, legal advice, or decision-making that affects individuals. It can help you prepare the work, but a person stays accountable for the decision. Where AI-generated content is used, it must be clearly identified as such.
Is my AI use monitored?
AI tools accessed through Club accounts, devices or networks may be logged and monitored, in line with the Club's Information Security, Acceptable Use and Monitoring policies. It's done to protect Club data and intellectual property, meet legal and regulatory obligations, and support safe use of AI.
What should I do if an AI answer looks wrong?
Don't use it as-is. You're required to review every output before using or forwarding it — verifying facts against trusted sources, and checking it isn't biased, offensive or discriminatory and doesn't disclose personal or confidential information. If a tool behaved unsafely rather than just getting something wrong, report it to the Technology Service Desk.
